Learning from Bullhorn's outage: four things that keep your recruitment CRM running
Emma credits Bullhorn and the people working to bring it back, then shows the four things Recruitly already has in place so an agency is never left without its CRM.
Any CRM can have a bad day, ours included. After Bullhorn's outage, Emma starts by crediting Bullhorn, a part of this industry for over twenty-five years, and the engineers and support teams working through the night to bring it back. Then she answers one question: what would we want in place if it happened to us?
Watch it on Recruitly Play (3 min 16 s).
The four answers Recruitly already has in place
- Zero trust inside. Nothing inside Recruitly is trusted by default. Our servers are not on the open internet and nobody works on them by hand. Our AI, built on Claude, runs them from a written runbook, and our engineers approve each change. Every key it uses is fetched from a locked vault that records each fetch, and works only from our own private VPN.
- Your data live in two countries. Recruitly runs live in two data centres, one in Finland and one in Germany. If one goes down, the other takes over by itself within seconds and you carry on working. A third copy follows every change on a completely separate account, and every change is backed up to Amazon in Frankfurt.
- Two-factor for everyone. Every user at every agency signs in with a password and a code from their phone. There is no way to switch it off, and five wrong codes lock the account.
- Two people for every support visit. When support needs to see what you see, a second, senior person has to approve it, and nobody can approve their own request.
See how the whole set-up fits together on security infrastructure and GDPR.
What happens to my data if a Recruitly data centre goes down?
The other data centre takes over by itself within seconds and you carry on working. Recruitly runs live in Finland and Germany, a third copy follows every change on a separate account, and backups at Amazon in Frankfurt are each locked for fourteen days so nobody, Recruitly included, can delete them.
Can Recruitly support open my account without permission?
No one at Recruitly can open your account alone. A second, senior person must approve the request, nobody can approve their own, a request not approved within fifteen minutes expires, and access ends on its own within the hour. Every visit is recorded with who asked, who approved it, why and for which ticket.
