For temp, contract and volume desks
Volume is a data problem before it is a people problem
Two hundred applications against one role is not a resourcing challenge, it is a triage challenge. What decides the margin on a volume desk is how quickly the right forty surface, how fast the rest are answered properly, and how often you place the same person twice.
One role, two hundred applicants
The cost is not the reading. It is the good candidate who took another job on day three.
The shortlist arrives sorted
Deduplicated on arrival, scored against the job, bulk-actioned from one screen.
50+ boards, posted natively
What actually makes this desk hard
The inbox wins
Applications land faster than anyone can read them, so the first forty get attention and the rest get a silence that costs you a reputation on the review sites your candidates read.
You place the same person as if they were new
A contractor you placed eleven months ago is the best candidate for the role on your desk today, and nothing tells you. Redeployment is the cheapest placement there is and it is the one most often missed.
Compliance at volume is a filing problem
Right to work, references, certifications and consent multiplied by hundreds of workers becomes a spreadsheet with a colour code, which is a spreadsheet nobody trusts.
What changes when it all runs in one place
Post natively, once
Adverts written with AI and published to your careers site, portals and 50+ job boards from the job record, with per-board field mapping and scheduling. You keep your own board contracts and we post with your credentials.
Applications arrive triaged
Deduplicated on arrival, scored for relevancy against the live job, labelled and filterable — so you open a shortlist rather than an inbox. The Triage report shows exactly where applications stall before a human speaks to anyone.
Answer everyone, in batches
Bulk approve, reject or reassign across selected applicants, with a reason, comments and a scheduled rejection email you can cancel before it sends. Nobody is left in silence because there were too many of them.
Reach people on the channel they answer
Two-way WhatsApp and SMS threaded on the record, distribution lists with a review step, and drip campaigns — because a volume desk that only sends email is talking to itself.
Redeploy the people you already placed
Saved searches, folders, tags and status make your placed and available pool searchable as a first port of call rather than an afterthought. The fastest fill is someone you already know.
Bill it where it happened
Placements, fee stages and retained fees recorded on the job, invoiced through Xero or QuickBooks, with agent and manager billing desks so consultants and finance are not looking at the same screen.
Where a volume desk wins or loses
Triage, before anybody has read anything
Every applicant is deduplicated against your database, scored against the live job spec, labelled and stacked in order. The forty worth a call are at the top on the morning they applied, not on the Thursday somebody got to them.
Questions this desk asks
Do temp and perm live in the same system?
Yes, one database. Job types, statuses and workflows are yours to define, so a contract desk and a perm desk can run genuinely different processes without running different software.
Does it handle timesheets and pay-and-bill?
Not directly. Recruitly covers placements, fee stages, retained fees and invoicing through Xero or QuickBooks, and integrates with the accounting platform where contractor timesheet processing lives. We would rather say that plainly than imply otherwise.
Can we mass-communicate without wrecking deliverability?
Authenticated sending domains, managed mailboxes, dedicated IPs, suppression lists and a blacklist are all part of the platform, alongside WhatsApp and SMS for the messages that need answering today.
How do we keep the database usable at this volume?
Merge for duplicates, Data Health diagnostics per record type, and CV expiry triggers that age stale records out on a schedule with renewal reminders before anything is deleted.
