How to set up the AI phone system: buy a number, make calls, track costs
Buy a phone licence and number, finish compliance, set working hours and call handling, call from any record with AI call prep, and see every cost in usage history.
This is the hands-on setup of Recruitly's AI phone system: buying the licence and number, configuring how calls are handled, making a call with AI prep, and seeing exactly what you are charged for.
Watch it on Recruitly Play (5 min 43 s), part of the Run your desk series.
Buy a licence and a number
- Open your profile and choose AI phone system. The overview shows your numbers and compliance status.
- Go to Numbers and click Buy licence. Choose the country, the number type and how many you need, and see the monthly price.
- Confirm and complete the payment.
- Get a new number or port an existing one, and complete the compliance requirements. The number then goes active.
Configure the number
In settings, set your business name, working hours and holiday schedule. Choose what happens to an unanswered call: voicemail, a notification or forwarding to another number with a voicemail PIN. The AI assistant adds real-time transcription with dynamic actions, and an AI coach with feedback.
Make a call
Open a record with a valid phone number, click the number and use the Recruitly dial pad. AI call prep gives you key points about the person before you speak. Afterwards the call is logged on the record with its transcript, and Calls in the sidebar holds your history with AI actions, transcripts and recordings. Ask Simi about the call from the top right.
Track usage and cost
Subscription billing, then Usage history, breaks down recent costs such as outbound calls, meeting transcriptions and AI features. Features and limits shows usage of AI voice notes, call transcriptions and Simi AI.
See phone numbers, call rates and AI call prep.
Can I keep my existing business number?
Yes. When you set up the number you can port an existing one instead of buying a new one.
Where do I see what my calls cost?
In Subscription billing, under Usage history and Features and limits.
