How to bring people into a Loop Channel from your website form, sourcing tool or Zapier
Make a Loop Channel your other tools fill by webhook. Every person they send is saved in Recruitly, matched by email and never duplicated, and your team works them together.
Enquiries from your website, people from a sourcing tool and sign-ups from Zapier usually land in an inbox someone has to clear by hand. In Recruitly, a Loop Channel can take them straight in. You copy the channel's private link into your tool, and every person it sends is saved in your CRM as a candidate, contact or lead. Anyone already there is matched by email, never duplicated or changed, and your team works the list together in Loops.
Watch it on Recruitly Play (2 min 19 s), part of the Run your desk series.
Make a channel your tools fill
- In Loops, open Channels and press Create. Say what the channel is for, like 'Hiring managers who ask about staff on our website'. Simi reads it, and everything she does in the channel follows from it.
- Under Save them as, pick candidates, contacts or leads, and press Continue.
- Under Where do people come from, choose Webhook. Another system sends people in, and each one is saved to your CRM first.
- Check what people are saved as. You can't change it later, so pick the one you would search for.
- Give the channel a name your team will know, pick a picture, add the colleagues who will work the list, and press Create channel.
Connect your website form, sourcing tool or Zapier
- The channel opens with its own private link ready. Press Copy link.
- Paste it where your tool says Webhook or Send to URL.
- Someone else runs the tool? Press Copy the setup steps for them. It copies the link, the fields and an example request to send them.
Your tool can send up to 100 people at a time. Developers can find every field in the Recruitly developer portal.
What happens to someone who is already in my CRM?
They are matched by email and added to the channel, and their record is never duplicated or changed. Everyone new is created as the record type you picked. The Webhook pill beside the channel's name counts people as they land, so the chat stays free for your team.
How do I see who couldn't be added?
Open the Webhook pill. Overview shows how many people are in the channel, how many are new to Recruitly, how many were matched and how many couldn't be added. History lists every post from the last 7 days, and opening one shows each person in it and why anyone couldn't be added, like an email that isn't an email address or a contact with no company.
Work the list like any other channel
- Press the people count beside the team to see everyone in the channel, search them, and open any record.
- Send everyone an email or WhatsApp campaign from Channel actions. See email campaigns.
- Put Simi to work: Email List Cleanup keeps the list clean, and job change alerts tell you the moment someone moves job. See Email List Cleanup.
