How to run a daily checklist for your recruitment desk in Loops

Write your desk's morning checks once. Loops gives the team a fresh copy at nine every weekday, everyone marks their own row, and a stuck check goes red with the reason.

Most desks run the same checks every morning: the applications that came in overnight, today's interviews, right to work for new starters, missed calls. When those live in a string of "done" messages, nobody can see what is left. A repeating tracker in Recruitly Loops puts the checks on one card that starts fresh each day. This video shows how to set one up and how the team uses it.

How do I set up a checklist that repeats every day?

In your desk's group in Loops, press the grid beside the message box, choose Add manually, and set Repeats to Weekdays (or Every day). A new run opens at nine and yesterday's is kept.

  1. Give the tracker a name, such as Morning desk check.
  2. Set Repeats to Weekdays. A new run opens at nine every weekday.
  3. Add a row for each check, like reviewing the applications that came in overnight.
  4. Press the face on a row to choose who does it. In a big team, type a name to find them.
  5. Add the rest the same way: today's interviews, right to work, missed calls, the adverts and the shortlist updates.

Can I name my own statuses?

Yes. Each status you name is still to do, counts as done, or a problem. In the video, In progress is removed, To do becomes Not yet and Blocked becomes Stuck. Stuck stays a problem, so whoever picks it is asked why.

What happens each morning

  • Press Share and the first run is in the group, every row on Not yet, and each person has their row in Actions.
  • From then on, a fresh card arrives at nine every weekday with the same rows and people, and yesterday's folds to one line.
  • The dots on each row are its last seven runs: green done, red a problem, grey when nobody got to it.
  • When a check can't be finished, its owner picks Stuck and says why, and the row goes red for everyone.
  • All runs shows every day with its counts. It is also where you change how the tracker repeats, or switch it off.

A Stuck row stays in its owner's Actions after the next run opens, until someone sorts it out. See Loops and Recruitly for small teams.
